Pastoral Council Meeting Minutes

January 14, 2019

PRESENT:

Fr. Raj Irudayaraj, Fr. Ralph Berg, Fr. Vicente, Jim Wren, Bud Bevenour, Jack Connolly, Roger Dubin, Harry Gooding, Ginny Shugars, Greg Watts, Phil Stevens, Beth Luce, Kevin, Keighron.

ABSENT:

Kathy Huston, Claudia Jones-Lezama, Rob Boland.

GUESTS:

I. OPENING PRAYER

Fr. Raj opened the meeting at 5:30 by reading from scripture and leading the council in prayer.

II. APPROVAL OF MINUTES

The December 03, 2018 minutes were approved as submitted.

III. OLD BUSINESS

    There was no old business discussed.

IV. NEW BUSINESS

  1. Parish Manager’s Report – Jim Wren
  1. 1. We have received our Certificate of Occupancy.
  2. 2. Plans are being made to have our parish financials, such as Capital Campaign monies and Mass collections, included in the church bulletin each month.
  3. 3.The final bill has been paid to B’s Construction for our church remodel.  The remaining stations and a few other items are still to be paid.  We are pleased that we have incurred minimal debt.
  4. 4.As reported last month, Jim Wren is reinstating a “Performance Review Process”. He has the needed forms and plans to use a merit based system.
  5. 5.There will be a Volunteer Appreciation Dinner on Wednesday, February 13 from 5-8 in the school gym.  Spouses are welcome.  Children must be accompanied by an adult.
  6. 6.A letter was sent to each of our ministry leaders advising them of a mandatory meeting with Fr. Raj on Saturday, January 26th, at 10:00am in the church.  Each ministry leader, or their representative, will be asked to present a very brief explanation of their ministry.
  7. 7.Some changes are being made to our budget process.  A budget calendar is being discussed.  Jim Wren will be the point person on this.
  8. 8.Common Grounds will again be serving coffee and donuts after the 0700 and 0900 Masses beginning Sunday, January 20th in the Sacred Heart Room. A different ministry will be responsible each week for set up and take down and also for interacting with newcomers and patrons who might be attending. Our Pastoral Council has been assigned this Sunday, January 20th. Kathy Huston will be the person for volunteers to contact.

B.     Pastor’s Report – Fr. Raj

  1. Our priests attended the Claretian Province Assembly meeting in Los Angeles last week.  The parish report presented at that meeting was made available to the council.
  2. The Pastoral Council members were given a page of guideline to look over and give their feed back to the pastor.  When approved, the guidelines will be placed on the parish bulletin board in the gathering place.
  3. Plans are in the making for the names of the members of the various councils to be placed on a bulletin board in the gathering area.
  4. July 2019 is the target date for new members to join those who will be remaining on the board.  Fr. Raj asked for help identifying possible new board candidates.
  5. Catholic Schools Week will be celebrated in our Sacred Heart School from January 26th to February 1st...
  6. Fr. emphasized that Common Grounds was to be focused on hospitality, communications, and welcoming all newcomers.  The involvement of our various council members will help connect the members to the parishioners.
  7. Fr. Dale Craig S.O.L.T, pastor of Most Holy Trinity, Phoenix, .will be our Lenten Mission presenter for both our English and Hispanic parishioners on April 8th and 9th.
  8. The parish calendar of events will come out every three month on flock notes, and will be placed on the bulletin board..
  9.   On the second Sunday of each month, at the 0900 Mass, there will be a special prayer said and a blessing given for all expectant mothers.
  10. 10.   The new second collections policy will go into effect this weekend, January 19-20.
  11. 11.Fr. Raj is well pleased with the youth ministry.  Programs for the first six months have been        planned..
  12. 12.Our priests are meeting monthly, for the next 4-5 months, to develop a pastoral action plan for our parish. They will be reviewing our Grand Plan for Renewal and Mission Vision and Values plan, and their recommendations will be discussed in future pastoral council meetings.
  13. 13.Fr. said that everyone seemed quite pleased with the Christmas liturgy and parish celebrations.   Despite the problems that snow presented, our parishioners enthusiastically participated in all of the masses throughout the holiday season.

V. SUGGESTIONS, COMMENTS, AND CONCERNS

In order to provide a more complete picture of how our monies are spent, it was suggested that we notate our “expenditures” as well as our “collections” when we begin posting our financials in the church bulletin.  Another suggestion was to provide a comparison of last year’s financial figures for the same time period.

Our next meeting will be on Monday, February 4, 2019  at 5.30 p.m. in the church library.
